Operations Coordinator

Job Summary

The operations coordinator reports directly to the executive director. The Operations Coordinator interfaces with all customers and provides customer support as the first and essential duty. The OC also provides administrative support to the Executive Director. The OC is a staff member who represents a tam organization that represents the ED, board of trustees, members, and volunteers.

Major Responsibilities

  • ·         Manage a flexible work schedule in order to maintain open hours for the Arts Center and program supervision
  • ·         Greet and assist patrons in participating programs including Paint Your Own Pottery (PYOP), purchase of artwork, donations and viewing of art exhibit
  • ·         Work with program coordinator to maintain cleanliness and organization of the center
  • ·         Administrative duties as assigned which includes but not limited to:
  • -       Manage database for class registration
  • -       Maintain communication with Program Coordinator and program participants
  • -       Maintain program listings in QuickBooks
  • -       Maintain QuickBooks inventory
  • -       Organize and install exhibits
  • -       Manage membership database and renewals
  • -       Create and send press release
  • -       Promote programs using social media
  • -       Seek program support when appropriate
  • -       Collaborate with the program coordinator in creative process of generating workshops that fit into the PCAA mission
  • -       Other duties as assigned

Requirements and Qualification

            The Operations Coordinator must:

  • ·         Prior operations experience a must. Experience in Art and Bachelor’s in Fine Art or related field a plus
  • ·         Be professional, courteous, and passionate about the mission of the PCAA
  • ·         Have the ability to maintain relationships and partnerships in multiple communities and contexts, and represent PCAA at all times
  • ·         Be a creative spirit who can negotiate design concepts and execute painted pottery techniques (training provided)
  • ·         Administrative skills in word-processing, spreadsheets, and sales software (Square)
  • ·         Have excellent communication skills, able to write effectively and manage data
  • ·         Be highly organized, able to multitask, carry different projects and handle interruptions
  • ·         Be able to work independently prioritize and have the ability to work in a collaborative team-oriented environment, problem-solve, manage, and delegate multiple tasks, and respond quickly to requests.

Hours

            This is a Part Time position. Hours may vary and are typically in the afternoon, evenings, and Saturdays. Because this position is one that interfaces with customers, punctuality is key. Likewise, the Operations Coordinator is expected to stay after shift when needed to further assist customer.

Program Coordinator

Job Summary

The program coordinator of the Preble County Art Association reports to the Executive Director and is responsible for the organization’s consistent achievement of its mission; specifically related to programming, operations, and facility support. The program coordinator must:

  • ·         Develop and implement programs, classes, workshops, outreach activities, birthday parties, and assist with Art exhibits
  • ·         Instructors’ contracts and renewals
  • ·         Manage student registrations and communications
  • ·         Ensure supplies and facilities meet demands
  • ·         Maintain program software and recordkeeping
  • ·         Promote programs by building professional networks (traditional and social media)
  • ·         Ensure activities adhere to budgets
  • ·         Recruit and foster relationships with volunteers
  • ·         Interface with customers and clients
  • ·         Be present during special events and outreach is a must
  • ·         Oversee and coordinate RISE program:
  • -       Develop syllabus and recruit students through schools’ councilors, maintain communication with parents
  • -       Teach classes
  • -       Ensure program is consistent with program goals
  • -       Track necessity data for reporting. Create and distribute reports

Minimum requirements

  • ·         Bachelor’s degree in Fine Art, Art Education or related field or experience
  • ·         Experience in creating and teaching workshops and classes
  • ·         Proficient in Microsoft office and social media
  • ·         Ability to understand budgets
  • ·         Skills: Organized and detail oriented. Able to keep multiple projects going and handle interruptions. Must be able to work collaboratively, be courteous, and open to communicate.
  • ·         Willing to work variable hours which include regular evenings and Saturdays.

    About the Spotlight Gallery

    The Spotlight Gallery at Preble Arts is a place for local artists to have an opportunity to exhibit their work, gaining exposure in Preble County. The Spotlight Gallery, located on the first floor of Preble Arts, has prominent exposure as it is traversed heavily to gain access to classrooms. The Spotlight Gallery is appropriate for 2-D works only. Receptions for exhibits are coupled with Arts Night Out or other Preble Art events. The PCAA does include artist information on appropriate marketing material and does include show information on the Preble Arts website and Facebook pages.

    How to be Featured in the Spotlight Gallery

    Local artists (30 miles of Preble County), can submit a proposal of consideration. If chose, artist must supply 3-5 works for installation and have them available for the agreed upon duration of the exhibit. A proposal template is provided.


    Rules and Guidelines

    Process

    Submit a proposal as outlined in the proposal template. Incomplete proposals will be rejected. A committee will review all proposals within 30 days of submission. Submission does not guarantee an exhibit opportunity. An email will be sent within 45 days of your submission reading the status of your request.

     

    Preparation

    All works must be framed with a hanging wire. Works must be presentable, completely finished and ready to exhibit. This requires work to be framed, or have painted edges of canvas, appropriate mounting or other means applicable to the artwork. If you are unsure regarding your specific piece- please ask!  Work must fit through a standard size door. The PCAA staff has the right to reject any work not properly prepared for display. Work must be available for the entire exhibit.

     

    Insurance

    Preble County Art Association is not responsible for any damages done to work due to craftsmanship or artist’s negligence. Framing must be secure. Works not for sale must have an insurance value. All claims must be backed by proof of sale. There is no disaster insurance provided.

     

    Compensation

    Works may be listed for sale. A 30% commission will be taken from each sale.

    About the Gallery 

    The Gallery at Preble Arts is a place for artists to have an opportunity to exhibit their work, gaining exposure in Preble County. The Gallery, located on the first floor of Preble Arts, has prominent exposure to passerby's from the large storefront windows that face US 35. All mediums are entertained for exhibits. Most receptions for exhibits are coupled with Arts Night Out or other Preble Art events. The PCAA creates graphics to include artist information on class brochures or postcards and other appropriate marketing materials. Show information is also included on the Preble Arts website and Facebook pages.  

    How to be Featured in the Gallery  

    Artists can submit a proposal of consideration. If chose, artist must supply 15-30 works (depending on size) for installation and have them available for the agreed upon duration of the exhibit. A proposal template is provided.
